Job Summary
The goal of the Facilities Coordinator Assistant is to support the Facilities Coordinator in the execution of maintenance and repair work duties while always maintaining a cordial relationship with tenants.
Reports to: Facilities Coordinator
Tenant responsibilities
Maintaining property by investigating and resolving tenant complaints Enforcing occupancy policies and procedures and confronting violators Collecting and submitting for payment of all utilities, fuel for the generator, DSTV, and internet bills When a tenant moves out, inspecting the unit, checking for damages, and determining what portion of the security deposit is to be refunded After move out, cleaning the unit and repairing any damages
Maintenance and Repair responsibilities
Inspecting vacant units Receiving maintenance requests Preparing job cards Liaising with contractors to provide maintenance and repair works Supervising and completing repairs Planning renovations Performing preventative property maintenance to keep the property functioning in top condition Maintaining a network of reliable plumbers, electricians, carpenters, and other contractors Ensuring that contractors and other repairmen are completing their work in a timely and cost-effective manner Ensuring that maintenance and repairs are of the highest standard Typing reports and updating Excel document reports
Budget and recording Responsibilities:
Operating within the set budget for the project Using discretion in certain emergency situations to authorize works that may exceed the budget when the occupants or physical structure are in danger Keeping thorough records regarding the property, including a list of all inspections, maintenance requests, complaints, records of repairs, costs of repairs, and maintenance costs
Qualifications
Bachelor's or associate degree in project management, real estate, building and construction, or similar. A completed course in facilities management will be advantageous. A minimum of 2 years of experience in facility coordination, project management, or real estate. Proficiency in Facilities Management (FM) software, like Drober and UpKeep. Extensive experience in building and equipment maintenance. Advanced knowledge of maintenance planning and schedules. Ability to respond to building and equipment emergencies. In-depth knowledge of building safety regulations and security protocols. Proficiency in office software, such as Microsoft Word, Excel, and Outlook Express. Excellent organizational and communication skills.
