Job Description

Essential Functions:
Answering the main company phone line, Provides priority time management by screening calls, prioritizing and scheduling meetings, assigning and scheduling items needing action by the CEO, composing original correspondence for signature, and ensuring requests for action or information are relayed to appropriate staff members and responded to in a timely manner.
Coordinates Board meetings, including planning, scheduling, notifying, taking and distributing meeting minutes and ensuring practices are consistent with standards of the organization.
Provides professional daily correspondence as it relates to Internet Chat, emails, phone calls, and personal interactions with all visitors both internally and externally.
Prepares and edits PowerPoint presentations, and general correspondence with any recommended changes and revisions; expert MS Office skills.
Performs Accounting and administrative duties related to the CEO’s travel arrangements, expense reports, Payroll, SNIT, and Company Tax filings.
Provides meeting support such as coordination of schedules, preparation of agendas and materials needed for meetings, coordinate WebEx, and conference call-in numbers.
Provide remote administrative support to the staff in regard to document uploads, remote access, and correspondence for situations that require remote coordination.
Perform miscellaneous admin tasks such as processing local and remote office mail, ordering supplies as needed for local and remote personnel.
Monitors and tracks budget upon request; prepares purchase requisitions, billing requests, and invoices as requested.
Prepares and maintains regularly scheduled reports, records and/or correspondence; creates monthly and periodic reports as requested; maintains all files
Meets regularly to assure timely completion of projects; attend staff meetings and other meetings as necessary.
Performs other duties as assigned by the CEO.
Knowledge, Skills, & Qualifications:
Bachelor’s degree, Accounting Certificate, college or related experience preferred.
1-3 years of related work experience areas administrative & accounting responsibility.
Must possess excellent verbal and written communication skills.
Excellent customer service and interpersonal skills
Demonstrates the highest degree of respect, integrity, confidentiality, professionalism with all levels of internal and external partners.
Demonstrates both analytical and organizational skills with the ability to handle complex administrative details and tasks.
