Job Summary
You are to assist the Operations Manager in his/her work delivery, attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the organization to the general public, clients and customers. Other responsibilities include reviewing and reconciling accounts, processing payments to external partners and maintaining updated records of invoices and receipts.

Job Description
You are to perform below essential functions but not limited to the following:
General Administrative responsibilities pertaining to the office- letters, telephones, filing, office appearance etc.
Receiving, documenting and attending to mails (including electronic)
Reception- record keeping of all employees and visitors entering the facility.
Updating and keeping office supply.
Acquisition of admin supplies and setting up of new employees
Attendance records and it to pay roll.
Summarizing and tabulating the reports and forwarding them to Operations Manager by Monday every week.
Work closely with operations manager on weekly and monthly budgeting.
Maintain and manage office administrative expenditure.
Maintain, verify and rectify customer balances in accounts receivable records.
Correspond with customers having long overdue and delinquent balances.
Check and verify vendor bills before making payment advice.
Maintain and manage inventory control of materials and supplies.
Maintain bank deposits and check payment records.
Reconcile sales, bank records with bank statements and invoices.
Provide accounting and administrative support to management and external audit teams.
Integrate administrative and accounting functions smoothly.
Qualification and Requirement:
Higher national diploma in Accounting, Finance, Management, Business Administration or Any Relevant field
A minimum of 2 years on the job experience
knowledge of administrative, clerical and accounting procedures
knowledge of computers and relevant software application (Ms Excel, Word)
Knowledge of QuickBooks or POS Software and pay roll software is a Plus
Knowledge of customer service principles and practices
